Depending on how you use SafeSociety, we may process the following information to provide and improve our services.
Visitor Information
Information related to visitor access, including visitor identity details, photographs (where captured), contact information (when provided), visit purpose, and entry or exit records.
Resident Information
Information provided by residents or society administrators to create and manage resident accounts, including name, residence details, contact information, and account role.
Staff / Security Information
Information required to manage staff and security personnel, including identity details, photographs (where provided), contact information, attendance or shift information, and access permissions.
Device & Technical Information
Technical information required to operate the platform securely, deliver notifications, improve reliability, and diagnose technical issues.
2. Why we use this information

Create and manage visitor, staff and entry records
Enable resident approvals and society-related operations

3. Where your data is stored
Your data is stored on secure cloud infrastructure. Different societies’ data is logically separated and is not accessible to other societies or unrelated users.
We maintain regular backups and follow industry-standard security practices to protect your data.
4. Access and sharing
Access to your data is strictly limited to:
- Authorized users within your society based on their assigned role (for example, Admin, Security, or Resident).
- SafeSociety personnel only when required for support, maintenance, security investigation, or legal compliance.
- Service providers who help us operate the platform, such as hosting, notifications, and analytics providers, under strict confidentiality and data protection obligations.
We do not sell, rent, or share personal data with advertisers or unrelated third parties.
5. Data retention and deletion
We retain data only for as long as necessary to provide the service and support your society’s operations.
- Active society data is retained while the service is in use.
- After service discontinuation, data is retained for up to 60 days to enable data export or resolve any issues.
- After the retention period, data is securely deleted or anonymized, subject to legal or regulatory requirements.
- You may request deletion of specific data at any time, subject to legal or operational obligations.
6. Your rights and choices
You or your authorized society representatives may:
- Access information about the data we hold.
- Correct inaccurate or incomplete information.
- Request deletion of data, subject to legal or operational requirements.
- Opt out of non-essential communications.
